About the Role

This is a key position in our National Support Office in Pymble, where you will work closely with our CEO and Executive Leadership Team to deliver high-quality administrative support.



Key Responsibilities

  • ​Manage the CEO's and Chairman's calendar, including meetings, appointments, and travel arrangements.
  • Screen and prioritise emails, calls, and other forms of communication to respond on behalf of the CEO and Chairman.
  • Manage and maintain SharePoint sites, OneDrive accounts, and other digital platforms to support the operational needs of the CEO and Chairman.
  • Draft and edit presentations, proposals, reports, and documents in line with Busways standards for executive meetings.
  • Coordinate and schedule executive meetings, client meetings, and other meetings as required.
  • Prepare detailed agendas, meeting materials, and other relevant documents or digital platforms in advance.
  • Take accurate and well-documented meeting minutes as required.
  • Contribute to the management and execution of assigned projects, ensuring timely delivery and alignment with our core values and company goals.
  • Collaborate with internal teams to ensure efficient change management methods are practiced to support the CEO and Chairman's directives and project implementation.
  • Arrange intricate travel itineraries, including domestic and international arrangements.
  • Plan and coordinate corporate events, executive off-sites, and client-focused events as required.
  • Provide general administrative support to the Legal and Compliance Department.
  • Handle confidential documents with discretion, maintaining and organising legal and compliance documents, records, and files.

What We're Looking for

  • Possess strong administrative abilities and exceptional writing skills, capable of producing clear, concise, and well-structured documents.
  • A professional demeanour characterised by maturity, reliability, discretion, and a proactive outlook.
  • Strong communication skills with the ability to build and maintain successful relationships.
  • Proficient use of Microsoft Suite, with a strong emphasis on SharePoint and Excel.
  • Strong attention to detail, organisational, and time management skills.
  • A flexible and versatile individual who can navigate evolving circumstances.
  • Demonstrated ability to use initiative and maintain a high degree of confidentiality when dealing with complex matters.
  • Be an Australian Citizen, Permanent Resident, or have unrestricted working rights in Australia.
  • Hold a current Unrestricted Australian driver's licence issued by the relevant State.


Requirements

  • Minimum Certificate IV in Business Administration or related field.
  • Proven experience as an Executive Assistant supporting Directors, Executives, or similar.
