Job Summary

We are seeking an experienced Personal Assistant to provide high-level support to our Managing Director. This role involves coordinating meetings, managing communications, drafting documents, and ensuring seamless travel arrangements.

Responsibilities

  • Calendar Management: Optimize the Managing Director's schedule by coordinating meetings, appointments, and events.
  • Communication Management: Act as the first point of contact for visitors and callers, prioritizing urgent matters and managing communications effectively.
  • Document Preparation: Draft and prepare various documents using Microsoft Office applications, including emails, reports, presentations, and spreadsheets.
  • Travel Arrangements: Coordinate domestic and international travel, booking flights, accommodation, transportation, and overseeing visa applications.
  • Expense Reporting: Manage expense reporting and reconciliation for the Managing Director.
  • Meeting Support: Assist with preparing for meetings, taking minutes, and following up on action items.
  • Liaison Role: Liaise with internal teams and external stakeholders to ensure smooth communication.
  • Administrative Support: Provide administrative support to other team members as needed.

Requirements

  • A minimum of 3 years' experience as a Personal Assistant in a fast-paced environment.
  • Bilingual fluency in Mandarin (highly desired).
  • Strong organizational skills with the ability to multi-task and prioritize effectively.
  • Exceptional communication skills, both written and verbal.
  • Ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office applications, especially Outlook, Excel, and Word.
  • A proactive problem-solver with the ability to work independently while knowing when to seek guidance.
  • A positive attitude with flexibility and enthusiasm for growth.
