
Administrative Documents Coordinator

The role of a Document Administrator involves supporting the Defence Base services contract in partnership with the Australia Defence Force. The successful candidate will be responsible for gathering and uploading documents into our Defence filing system, acting as the interface between Ventia and Defence for the transfer of documents.
Key Responsibilities:
- Document control - locate, retrieve, receive files, and upload documents into defence system, Objective.
- Supporting improvement initiatives throughout the contract as requested.
- Uploading Ventia documents into the DBS document management system and share point.
- Running reports as requested.
- Carrying out any other duties that can reasonably be requested by the National Asset Manager.
- Assisting with principal services managers issues for all service Lines.
Requirements:
- Demonstrated experience in collaborative and consultative processes at a professional level.
- Experience using SAP and GEMS.
- MS Office (MS Word / Excel / Outlook).
- Demonstrated interpersonal communication skills and the ability to work as a member of a team.
- Demonstrated written and verbal communication skills.
- Excellent time management/organisational skills.
- Experience and understanding of the Audit process.
- An ability to work flexibly and adaptively in a complex environment with multiple stakeholders.
Eligibility Requirements:
- Be an Australian Citizen.
- Maintain a Defence clearance.
- Pass an Australian Federal Police Check and Medical Pre-Employment Checks as required by the contract.
