
Project Document Coordinator

We are seeking a highly skilled and experienced Project Documentation Specialist to join our team. As a key member of our project delivery team, you will be responsible for managing critical documentation with accuracy and efficiency.
Your primary focus will be on coordinating internal and external document workflows, ensuring alignment with project specifications, schedules, and governance standards. You will play a vital role in supporting the timely delivery of major energy initiatives from solar and wind to pumped hydro and gas revamps.
Main Responsibilities:- Document Control: Assist with defining and setting the document management strategy, including system roadmap, process, and training for the Energy Projects group.
- Documentation Identification: Ensure incoming and outgoing project documentation is clearly identifiable prior to distribution.
- Assurance and Compliance: Provide assurance that documents/drawings are in accordance with the Energy Projects Document Process.
- Review and Dissemination: Collect, record, and disseminate comments arising from reviews and close out subsequent document revisions.
- Process Improvement: Develop efficient document control processes, challenge, and update them accordingly.
- Stakeholder Engagement: Establish working relationships with stakeholders and ensure they adhere to document control processes and provide documentation in the appropriate manner and formats.
You will work closely with various stakeholders to ensure seamless document management, from setup to ongoing administration.
Requirements:- Experience: 10+ years of experience with InEight Document (Team Binder) and/or Aconex document management tools or similar.
- Document Controlling Experience: Solid document controlling experience on projects in comparable industries.
- Project Delivery: Extensive experience working as part of a project delivery team.
- Communication Skills: Excellent oral and written skills, superior communication skills, with strong attention to detail and demonstrated ability to communicate complex ideas through clear and effective messaging.
- Interpersonal Skills: Good interpersonal skills working with various stakeholders.
- Platform Administration: Experience in setting up and administering online document and communications management platforms.
- Knowledge: Demonstrated knowledge of document control procedures and creation of these.
