In partnership with the Australia Defence Force, we are currently seeking a **Document Administrator **to support the Defence Base services contract.
This full-time role will be based at **Victoria Barracks** in Southbank with hybrid working flexibility.
This role is accountable for gathering and uploading documents in our Defence filing system 'Objective'. This position acts as the interface between Ventia and Defence for the transfer of documents. The Administrator provides key administration services to multiple Managers including communications, record keeping, information transfer and upload to both Ventia and Defence systems, and other administrative tasking as advised by the National Asset Manager.
**In addition, you will also be responsible for**:
- Document control - locate, retrieve, receive files, and upload documents into defence system, Objective.
- Supporting improvement initiatives throughout the contract as requested.
- Uploading Ventia documents into the DBS document management system and share point
- Running reports as requested.
- Carrying out any other duties that can reasonably be requested by the National Asset Manager.
- Assisting with principal services managers issues for all service Lines
- Interacting effectively with technical staff, subcontractors, senior military officers and client representatives if required.
**About you**:
- Demonstrated experience in collaborative and consultative processes at a professional level.
- Experience using SAP and GEMS.
- MS Office (MS Word / Excel / Outlook)
- Demonstrated interpersonal communication skills and the ability to work as a member of a team.
- Demonstrated written and verbal communication skills.
- Excellent time management/organisational skills.
- Experience and understanding of the Audit process.
- An ability to work flexibly and adaptively in a complex environment with multiple stakeholders.
- An ability to interact effectively with technical staff, subcontractors and Client representatives.
You must be an Australian Citizen and have the ability to maintain a Defence clearance in order to be eligible for these positions, as well as be able to pass an Australian Federal Police Check and Medical Pre-Employment Checks as required by the contract.
