Contracts and Facilities Management Coordinator

Seeking a highly skilled Contracts Administrator to support our client’s Facilities Management team in Inner East Melbourne. Our ideal candidate will have 3-5 years of experience with Work Order Management Systems, strong IT skills for report writing, and a solid understanding of budgets and financial management.
About the RoleWe are seeking a dedicated and detail-oriented individual to manage contracts, vendors, and work orders, ensuring smooth delivery of maintenance plans and compliance with legislative and organizational requirements. The successful candidate will work closely with contractors, vendors, and stakeholders, maintaining positive relationships and demonstrating exceptional customer service.
Key Responsibilities- Contractor & Vendor Management: Oversee onboarding of new vendors, manage compliance, documentation, and adherence to organizational policies.
- Work Order Management: Support preventative and reactive maintenance schedules, prioritize and process work requests, and coordinate with contractors and site representatives.
- Administration & Reporting: Prepare and manage documents related to work orders, capital expenditure, and essential safety measures. Ensure timely reporting on key metrics such as work order tracking, scheduled inspections, and backlog maintenance.
- 3-5 years of experience with a Work Order Management System.
- Experience in onboarding new vendors, managing compliance, documentation, and adherence to organizational policies.
- Solid understanding of budgets, opex, and capex.
- Strong understanding of IT and database skills for report writing.
