High-Level Office Coordinator for Design Team

The Company: Aspect Personnel is a boutique interior design and architecture practice known for its tailored and personalised approach from concept to delivery.
They provide interiors and furniture/styling services to various clients with project sectors including high-end residential, retail, hospitality, and corporate. The role requires supporting 3 busy Directors with varying needs, focusing on coordination, administrative support, and task follow-up of meetings across the business.
About You
- You will be a highly organised person, able to keep others on track, with strong communication skills and the ability to build relationships and influence outcomes.
- Diplomacy, confidentiality, and discretion are essential qualities, along with adaptability and proactive work ethic.
- A positive attitude, drive, and enthusiasm are required to contribute to internal culture.
Responsibilities
- Screen incoming correspondence, respond, and action appropriately on behalf of Directors.
- Prepare letters, emails, and documents.
- Manage complex and changing diaries.
- Minute meetings, collate agendas, coordinate follow-up actions.
- Organise travel and expense claims management.
- Assist with fee proposals, track business development opportunities, and produce information.
- Maintain confidentiality at all times.
Requirements
- Demonstrated experience supporting multiple Directors or Executives.
- Advanced MS Office and tech skills.
- Professional services experience highly regarded but not essential.
What We Offer
An estimated salary of $80,000 - $110,000 per annum, depending on experience, plus benefits.
