Job Opportunity
We are seeking a highly organized, detail-oriented and proactive individual to join our team as an administrator.
- Provide administrative support to accountants and partners, including scheduling meetings, managing calendars and coordinating appointments.
- Assist with client onboarding, document collection and maintaining client files in a secure and organized manner.
- Prepare, proofread and format client correspondence, reports and other documents.
- Handle client inquiries and direct them to the appropriate team member.
- Coordinate and manage the flow of documents for tax filings, audits and other accounting services.
- Maintain and organize office supplies, equipment and resources to ensure the office runs efficiently.
- Assist with billing, including tracking payments and outstanding invoices.
- Support the recruitment, onboarding and training of new administrative staff as needed.
- Ensure compliance with firm policies and procedures, including confidentiality and data protection standards.
- Manage office communication systems, including emails and internal messaging platforms.
- Coordinate team meetings, firm events and client functions.
- Assist with other administrative duties as required to ensure the effective operation of the firm.
Minimum Qualifications:
- Minimum of 2 years of experience in an administrative role, preferably within a professional services environment.
Key Skills:
- Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple deadlines.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with accounting software is an asset.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Qualifications:
- Relevant certifications or education in business administration or a related field.
