Job Summary

We are seeking a highly organized and detail-oriented Office Administrator to join our team at Colliers International. As an Office Administrator, you will play a critical role in ensuring the smooth operation of our office, providing exceptional support to our clients and colleagues, and contributing to the success of our business.

Key Responsibilities
  • Client Engagement: Provide a warm and welcoming experience for all guests, clients, and customers, ensuring a high standard of client engagement through the coordination of meeting rooms, event coordination, and support for all aspects of a memorable client experience.
  • Technology Management: Assist with the management and maintenance of our modern in-house technology, ensuring seamless operation and minimizing downtime.
  • Contractor and Tenant Support: Assist with contractors, tenants, and office maintenance requests as required, providing timely and effective support to ensure the smooth operation of our office.
  • Logistics and Administration: Arrange incoming and outgoing couriers and mail services, process invoices, and manage corporate credit card receipts, ensuring accuracy and compliance.
  • Documentation and Compliance: Collate and update property documentation as required for property risk assessments and compliance checklists, ensuring copies of all reports, correspondence, and other outgoing documentation are kept on file.
  • Database Management: Enter supplier contract information into systems on behalf of Property and Facilities Managers, ensuring accuracy and compliance.
  • Audit and Compliance: Audit database and contracts to ensure accuracy and compliance, identifying areas for improvement and implementing changes as necessary.
Requirements
  • Interpersonal Skills: Excellent interpersonal skills and an entrepreneurial spirit, with the ability to build strong relationships with clients, colleagues, and stakeholders.
  • Organizational Skills: Exceptional organization skills, with the ability to deal with multiple matters and work to deadlines.
  • Technical Skills: Intermediate knowledge of Microsoft Word and Excel, with the ability to learn and adapt to new systems and technologies.
  • Communication Skills: Excellent written and oral communication skills, with the ability to communicate effectively with clients, colleagues, and stakeholders.
  • Financial Literacy: Good financial literacy, with the ability to manage budgets and track expenses.
  • Customer Service: A strong customer service ethic, with the ability to provide exceptional support to clients and colleagues.
  • Building Services: An understanding of building services, with the ability to read and comprehend technical and legislative documents.
  • Teamwork: A strong teamwork ethic, with the ability to engage and manage multiple stakeholders to deliver a single outcome.
