Job Summary

The Senior Administrative Coordinator will provide high-level support to the Director of Commercial Growth, Director of Audience Growth, and Head of Strategy within the Nine Publishing division. This role is critical in facilitating team operations, fostering a positive culture, and ensuring seamless communication across departments.

Key Responsibilities:

  • Efficiently manage calendars and inboxes, ensuring smooth operations and proactive planning.
  • Administer invoices and expenses while coordinating travel arrangements and itineraries.
  • Uphold confidentiality and professionalism in all interactions.
  • Maintain a log of commitments and ensure timely follow-ups on key matters.
  • Coordinate team events and meetings, handling logistics with precision.
  • Organise development programs, including guest speakers and team celebrations, promoting a collaborative culture.
  • Act as a liaison between the Publishing Growth Exec team and other departments, ensuring effective communication.
  • Stay updated on ongoing activities within the Publishing division, serving as a go-to resource for information.
  • Prepare documents and presentations with a focus on detail and professionalism.
  • Oversee budget-related tasks.

Requirements

We are seeking a highly skilled and experienced administrative professional who can:

  • Proven experience as an Office Assistant, Personal Assistant, or Executive Assistant, effectively supporting leaders.
  • Exceptional interpersonal skills with a friendly and professional demeanor.
  • Ability to build and maintain strong internal and external relationships.
  • Proactive and mature approach, with a strategic mindset for identifying and addressing gaps and driving continuous improvement.
  • Advanced skills in Google Workspace are essential; experience with Slack is a plus.
  • Strong organisational, project management, and problem-solving skills.
  • Background in marketing, PR, or communications is highly desirable.
