**Role Overview:** As a Senior Administrative Coordinator to the Property and Project Services team, you will play a crucial role in ensuring the smooth operation of our team's activities. You will be responsible for providing administrative support, managing schedules, and coordinating various tasks to help our team achieve its goals.

**Key Responsibilities:**

  • **Administrative Support:** Assist with day-to-day administrative tasks including managing calendars of the Property & Project Services Executive teams, scheduling meetings, managing leave and expenses, booking travel and processing invoices.
  • **Communication:** Serve as a point of contact for internal and external communications, ensuring messages are conveyed accurately and promptly.
  • **Organizational Support:** Help organize team events, meetings, and other activities, ensuring all logistics are handled efficiently.
  • **Documentation:** Prepare, maintain and check documents, reports, and presentations as needed.
  • **Project Assistance:** Support ongoing projects by coordinating tasks, tracking progress, and providing updates.
  • You will be part of the broader support team based in our Sydney office. Your support will extend to onboarding and induction of new staff, coordinating the office social events and ensuring that all supplies and resources are stocked and maintained to keep the office ticking. You will contribute to a highly engaged, high-performing culture and always live the TMX values.

**Requirements:**

  • Experience:
  • 5+ years in senior level administrative support role.
  • Previous Property industry experience beneficial (i.e. listing software/database, agency agreements, licensing, listing sheets, title searches and marketing).
  • Experience in juggling the needs of multiple high-priority stakeholders.
  • Demonstrated experience working under pressure, prioritizing and working to tight deadlines.
  • Event and project management skills.
  • Skills: Excellent organizational and multitasking abilities. Strong written and verbal communication skills.
  • Tech Savvy: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office software and tools. Adobe InDesign and Salesforce experience is preferred.
  • Attitude: A proactive, can-do attitude with a willingness to take on new challenges and a keen eye for detail. You will need to be results-orientated and a team player who is highly self-motivated.
  • Education: High school diploma or equivalent; relevant certifications or coursework is a plus.
