We are seeking an experienced and highly skilled Personal Assistant / Office Manager to play a vital role in the smooth running of our boutique, privately run investment firm.
In this highly varied and dynamic role, you will become a trusted and highly valued 'right hand' to support the Managing Director across both professional and personal tasks, going beyond the typical assistant role.
Key Responsibilities:
- Management of the day-to-day running of the office, ensuring seamless operations and high levels of productivity.
- Diary and email management for the Managing Director, handling both professional and personal matters with discretion and confidentiality.
- Expense and invoice tracking, maintaining accurate records and ensuring timely payments.
- Administration and record keeping on an Investment portfolio, including several commercial real estate properties, requiring attention to detail and organizational skills.
- Liaising with external partners, such as Accountants, Lawyers, Investment Advisors, and Property Managers, to ensure effective communication and collaboration.
- Providing support to the Managing Director with ad hoc personal matters, demonstrating a mature and flexible attitude.
Requirements:
- 10+ years' office support experience, including specific experience as a PA / EA supporting busy executives with both professional and personal matters.
- Exceptional organizational skills, with the confident ability to juggle multiple priorities and deadlines.
- A mature attitude with high degrees of confidentiality and discretion.
- A problem solver with a flexible mentality, where no task is 'too big or too small'.
- Strong work ethic with a sense of loyalty, seeking a stable career.
