About the Opportunity
We have an exciting contract opportunity for an experienced Executive Support professional to join our team.
The role of the Executive Support specialist is to provide direct executive support to a Head of Infrastructure. The Executive Support specialist will work autonomously and as part of a wider team, requiring the ability to thrive in both environments. You will demonstrate an aptitude for relationship management and be effective in understanding the ever-changing needs of the leadership team, wider team, internal divisions, and various external clients and investors.
Responsibilities include:
- Managing a large and multifaceted inbound flow of communication from both internal and external contacts.
- Complex travel coordination, including domestic and international travel arrangements, cost management, transport logistics, flight bookings, car hire, visas, and foreign currency exchange.
- Driving client presentation preparations to ensure deadlines are met and taking accountability for the progress of the team.
- Supporting document creation, including word processing, PowerPoint presentations, Excel spreadsheet generation, and maintenance.
- Preparing documents for internal and external Board commitments, client-related meetings, deal-related activities, and following up with other team members to request agendas and content to meet deadlines.
- Preparing monthly reconciliations of corporate credit cards for the Head of Infrastructure and relevant team members, and working with the support team to provide additional assistance to the wider team.
About You
To be successful in this role, you will have at least 8+ years' experience in a fast-paced, high-level Executive Support role, preferably within financial services or a professional services environment, supporting C-suite level roles.

- Ability to work autonomously and identify priorities for the Head of Infrastructure.
- Being a positive and effective conduit for the Head of Infrastructure and the wider team internally and externally.
- Solutions-oriented and comfortable working in stressful situations where the pathway is not always clear.
- Working across offices and time zones, coordinating across peers key internal committees.
- A self-starter and ability to work independently when needed and at times with limited guidance.
- Exemplary attention to detail in all written communication.
- Exceptional organisational and time management skills.
- Demonstrated initiative, drive, professionalism, and the ability to 'think, question, and challenge,' good judgement in distinguishing the urgent vs. important, prioritisation, expectations management, and escalating issues when necessary.
- Demonstrated experience managing budgets and collaborating with executive support teams.
- Experience in managing extensive domestic and international travel.
- Demonstrated ability to be an integral member of the team by fostering a strong team environment and encouraging collaboration and communication across team members.
- Advanced skills in Microsoft Office suite (Excel, Word, and PowerPoint).
