Daily Responsibilities

In the role of Executive Administrative Assistant, you will provide proactive support to three Directors, ensuring their schedules are efficiently managed. This includes organizing team meetings, coordinating events, managing diaries, and overseeing travel arrangements while also handling their email correspondence. You will interact with high-level internal and external stakeholders and manage sensitive information with the utmost discretion and professionalism. Additionally, you will have the opportunity to identify and implement enhancements in operational processes, engaging in a variety of projects.

Key Responsibilities:

  • Deliver comprehensive administrative support to three Business Directors, including calendar management, email oversight, and travel logistics.
  • Organize travel and accommodation arrangements for Directors.
  • Coordinate team meetings, including venue bookings and managing conference calls—both local and international.
  • Plan and execute team events, such as offsite meetings and conferences.
  • Facilitate all business meeting logistics, including Quarterly Business Reviews.
  • Process commercial invoices (Purchase Orders) using SAP.
  • Gather and organize information to assist in the creation of presentations.
  • Aid in the development of presentation materials.
  • Contribute to drafting organizational announcements and speeches.
  • Maintain email distribution lists and organizational charts.
  • Collaborate with teams on initiatives, driving continuous improvements in processes.
  • Ensure confidentiality and security of both physical documents and sensitive information at all times.

Required Qualifications:

  • A minimum of 6 years of experience in a secretarial or administrative capacity supporting executives (e.g., Country Director, Managing Director) preferably within a corporate environment.
  • Proven administrative experience, particularly in supporting high-level executives.
  • Advanced proficiency in MS Office suite, with strong skills in multimedia presentation development.

Preferred Qualifications:

  • Strong communication skills, able to interact with internal and external contacts effectively.
  • High degree of autonomy and initiative in the workplace.
  • Ability to recommend enhancements in systems and processes to improve job effectiveness.
