Job Title: Operations Team Coordinator
Job Description:
The ideal candidate will have a proven track record of successfully supporting senior leaders in a fast-paced environment. They will be highly organized, with excellent communication and interpersonal skills, and the ability to work independently with minimal supervision.
Key Responsibilities:
- Provide high-level executive support to the Chief Operations Officer, including calendar management, travel arrangements, board reporting, presentations, and email management.
- Coordinate regular operations meetings and forums across the business.
- Manage the Operations Quality Documentation and RL Hub (SharePoint), ensuring all processes, policies, and templates are accurate, compliant, and up-to-date.
- Own the Life@Levande resident journey documentation and ensure integration into business-as-usual practices.
- Support project delivery, state forums, and the annual Retirement Living Council Census.
- Oversee Melbourne office operations, including amenities, invoices, contractor liaison, and staff onboarding/offboarding.
- Collaborate with cross-functional stakeholders to improve processes, enhance communication, and drive a high-performance culture.

Requirements:
- At least 3 years' experience in high-level administration or coordination roles.
- Strong skills in document management, executive support, and business reporting.
- Experience maintaining SharePoint and proficiency in Microsoft Office.
- Confidence engaging with senior stakeholders and managing confidential matters.
- A collaborative, solutions-focused mindset.
- Experience in retirement living, aged care, or property (desirable but not essential).
