
Administrative Operations Coordinator

We are seeking a detail-driven and organized administrative professional to support the smooth day-to-day running of our operations.
This fast-paced role plays a key part behind the scenes, supporting everything from financial management and supplier relations to procurement and export documentation. You will work closely with our teams to keep things moving efficiently and accurately, while getting exposure to key processes that drive our success.
Key Responsibilities:- Invoice Management
- Validate supplier invoices in a timely manner to ensure alignment with agreed terms
- Place all documents in an appropriate filing system to support audits and best practices
- Procurement
- Assist in the procurement of office and warehouse consumables, ensuring adequate stock levels while optimizing costs
- Export Order Documentation
- Assist in preparation of all necessary paperwork for export orders (air and sea freight) to meet compliance and regulatory requirements
- Resolution Support
- Investigate and resolve tickets by liaising with teams
- Reporting & Analytics
- Provide weekly reports and analytics on operations to support decision-making and continuous improvement as requested
- Provide daily updates on order status and coordinate with relevant team to resolve issues affecting any aged orders
- Employee Engagement
- Assist with employee recruitment, induction, and onboarding queries
The ideal candidate will have a minimum of 1-2 years' experience in an administrative role within operations, with a proven track record of delivering results in a fast-paced environment. Strong analytical and reporting skills, intermediate proficiency in Microsoft Suite, and excellent stakeholder management are essential.
While experience working with Dolfin or similar systems is beneficial, it is not mandatory. However, experience with export order documentation and compliance would be an advantage.
