ABOUT THE TEAM
Our Network Assets and Assurance (NA&A) team includes more than 2000 people from Infrastructure, Innovation, Engineering, Rolling Stock, OCMS, Strategic Asset Management and Planning and Integration.The NA&A team manage the change to the network - ensuring that the asset outcome is safe, reliable, and sustainable, both today and into the future.
ABOUT THE ROLE
The purpose of the Personal Assistant position is to provide high level administrative and business support functions to the General Manager Rolling Stock (GM RS), with additional support to the Rolling Stock Leadership Team (RS LT). The role will also contribute to the management and coordination of all cross-functional duties, supporting all Rolling Stock teams to ensure efficient business and administrative functions are achieved.
KEY RESPONSIBILITIES
Reporting directly to the GM RS, the Personal Assistant will assist them in the management of their day-to-day workload which will include (but will not be limited to):
- Managing the GM RS’ diary appointments and key correspondence
- Coordinate and assist in the preparation of all communication
- Scheduling of management meetings, minute taking and following up on actions in a timely manner
- Highlighting critical deadlines relating to RS LT and Client meetings, anticipating issues and assisting the GM RS with co-ordinating team follow-up
- Lead, manage and contribute to continuous improvement initiatives to improve Rolling Stock business and administrative efficiencies.
- Monitor, implement and evaluate administrative practices, systems and procedures within RS to optimise efficiency.
- Mentor administration interns recruited by the business, train new and current administration staff on new business processes implemented across the business.
ABOUT YOU
- Demonstrated experience in an administrative, executive assistant, co-ordination role or similar, with a sound understanding of business administrative principles and of working within a large governance/process orientated organisation
- High proficiency in Microsoft Word, Excel and PowerPoint
- Ability to foster strong working relationships and confidence in communicating with range of internal and external stakeholders whilst managing confidential business information with a high level of sensitivity and diplomacy
- Understanding of Rolling Stock, rail construction and railway operations would be advantageous.
