**The Organisation**
Our client is a well established and longstanding Not-for-profit business here in Brisbane, well known for their strong contribution and mission statement. Due to a recent promotion within the team, they are now seeking a Board Secretariat on a permanent basis.
This role would be well suited to an experienced board support professional or a legal graduate with relevant working experience looking for a new role.
**The Role**
In this critical role, you will provide essential support to our Board of Directors, ensuring the smooth functioning of board meetings, maintaining accurate records, and facilitating effective communication between board members and key stakeholders. This position offers an excellent opportunity for someone with a passion for not-for-profit work and a desire to contribute to meaningful change.
**Responsibilities**:
- Coordinate and schedule board meetings, including preparing meeting agendas, arranging logistics, and distributing meeting materials in a timely manner.
- Attend board meetings, record minutes, and generate comprehensive and accurate meeting reports.
- Maintain an up-to-date database of board members, including contact information, term limits, and committee assignments.
- Act as a liaison between the board and management team, ensuring clear communication and efficient flow of information.
- Assist in the development and distribution of board-related communications, such as announcements, memos, and policy updates.
- Support the recruitment and orientation process for new board members, providing them with relevant information and ensuring a smooth onboarding experience.
- Collaborate with internal departments to gather and compile data for board reports, ensuring timely submission.
- Maintain confidentiality of sensitive board-related information and handle it with utmost discretion and professionalism.
**About You**
- Previous experience in a similar role, with proven experience taking minutes, preparing board papers and agendas.
- Exceptional organisational skills and ability to manage multiple priorities with attention to detail.
- Strong communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.
- Proficient in using productivity tools and software, such as MS Office Suite and board management platforms such as Diligent.
- Demonstrated professionalism and ability to maintain confidentiality.
- Strong ethical values and a genuine commitment to the mission and values of the organisation.
