Facilities Senior Coordinator – CBRE Asia Pacific

Join CBRE Asia Pacific as a Senior Facilities Coordinator. Based at the client's South Melbourne head office, you'll also manage four remote locations, delivering facilities operations across five commercial office sites and driving service excellence to meet SLA and KPI requirements and support a seamless workplace experience across the portfolio.

What You'll Do
  • Client & Stakeholders Management: Maintain relationships with clients & stakeholders, conduct facility reporting meetings, and prepare reports on facilities performance, property profiles, emergency preparedness, site inspections, facility audits, and work order progress.
  • Operations Excellence: Manage operations and maintenance of facilities within the cluster with the team. Implement processes, ideas, and technology to improve operations and efficiency. Develop policies and procedures to ensure contractual specifications are fulfilled. Ensure 100% uptime of critical facilities through robust maintenance and contingency plans.
  • Business Continuity, EHS & Incident Management: Develop environmental health and safety procedures for facilities, including SOPs, emergency response plans, disaster recovery, business continuity, and related procedures.
  • Facility Inspection and Audits: Arrange and conduct facility inspections & audits for quality assurance and compliance; ensure facilities and procedures comply with local, state, and federal regulations.
  • Compliance Management: Set up, track and manage related equipment, building regulatory compliance, and licenses as required. Coordinate and support client HSE in evacuation drills and system tests as required.
  • IFM Reporting: Prepare and provision IFM reporting (weekly, monthly, quarterly) and utilities tracking, energy savings, sustainability initiatives, equipment status, uptime, and related reporting.
  • Budget Planning & Management: Prepare, manage and update facility CAPEX and OPEX budgets periodically.
  • Maintenance Planning & Program Strategy: Plan and execute electrical and mechanical maintenance works, building shutdowns, preventive maintenance, and ad hoc repairs. Support building condition assessment, asset management, lifecycle management, sustainability, and related programs.
  • Contract & Vendor Management: Manage and supervise vendors and contractors to ensure contractual and regulatory compliance. Prepare quotations for engineering services, consult with vendors, and perform maintenance and ad hoc services/projects as required.
What You'll Need
  • 2 years' experience in facilities / building management or related engineering roles.
  • Knowledge of mechanical & electrical systems, HVAC, BMS, fire protection, and alarm systems.
  • Knowledge of environmental sustainability, building and facility compliance, Health & Safety.
  • Working knowledge of Microsoft Office products and aptitude with various software platforms (Word, Excel, Outlook, etc.).
  • Strong communication skills to build relationships and engage with team and client end users.
