We have expanded to include 6 Early Learning Centers, 9 Kindergartens, and 14 Outside School Hours Care centers, reaching from Halifax in the North, Proserpine in the South, Mount Isa in the West, and Palm Island in the East.

About the role
Due to internal advancement, we are looking for candidates for the position of Administration Coordinator to start at the earliest opportunity.
This is a full-time permanent role, working 37.5 hours per week from 8:30am to 5:00pm Monday to Friday at our Townsville office.

The Administration Coordinator, internally known as the Education & Care Administration Coordinator, is in charge of maintaining high-quality administration management and coordination across all areas to assist services and families. This role will oversee a small team of 2 and will report directly to our Business & Finance Manager. Responsibilities include but are not limited to:

  • Manage and oversee the organization's childcare enrollment (CCS), waitlist, and fee collections in accordance with federal regulations and organizational decisions.
  • Support families in maintaining regular fee payments and act as a resource regarding fees.
  • Collaborate with service leaders to supervise and manage the waitlist, enrollments, and induction process for Kindergartens.
  • Assist in developing the enrollment process for ELC and OSHC services.
  • Ensure compliance and oversight of CCS and CCS software (Xplor) for MMCNQ.
  • Assist service leaders with CCS and CCS software and act as a point of contact and subject matter expert.
  • Oversee the collation of QKFS data and complete QKFS reporting as per funding requirements.
  • Lead continuous improvement initiatives for the Childcare Administration team and collaborate with service leaders on quality enhancements related to administration, enrollments/induction, waitlists, and fee payment/collection.

What you need to be successful:
  • Minimum 5 years' experience in an administrative role in a medium-sized organization
  • Prior experience in team leadership (highly preferred)
  • Prior experience in childcare/educational services (highly preferred)
  • Ability to work both independently and as part of a team, with demonstrated responsibility
  • Strong interpersonal skills, including effective communication, negotiation, and problem-solving abilities with the capacity to engage with a wide range of stakeholders
  • Advanced problem-solving, decision-making, and negotiation skills
  • Capability to manage multiple priorities and resolve conflicts
  • Valid Working With Children Check (Blue Card)
  • National Criminal History Check
