Our client, an iconic internationally recognised non-profit organisation is seeking an Executive Assistant to support the CEO and is responsible for the smooth operation of the CEO's office.

The position operates at the strategic and operational levels and works closely with the Leadership team, Board and sub-committees. The EA is responsible for high-level investigation, reporting, management and resolution of strategic and operational issues. The role supports the CEO in her role as Company Secretary to the Board.


The person in this role supports the CEO's relationships and is the first point of contact for matters requiring the attention of the CEO.

The person is required to liaise closely with directors, donors, stakeholders, staff and other networks, representing the CEO at a high level, when required.

The person may be asked to undertake research or projects for the CEO in the development of programs, strategic initiatives and donor relationships.


As part of an agile organisation which values teamwork and collaboration, the incumbent must be flexible, hands on and future directed.


Your key responsibilities will be to manage the office of the CEO at a senior level and ensure its smooth operation.


This includes but is not limited to:

  • Managing the diary, ensuring the CEO is briefed ahead of meetings, coordinating appointments, meeting requests and other attendances for CEO as required.
  • Maintaining correspondence and coordinating travel arrangements
  • Responding to and followingup on the CEO's enquiries and determining appropriate action.
  • Disseminating and preparing information and correspondence as appropriate.
  • Coordinating the Leadership Team's agenda; attending meetings, preparing notes and following up on meeting actions.
  • Undertaking research and development for projects, strategic initiatives and donor management as requested.
  • Attendance at meetings on behalf or with the CEO as requested.
  • Preparing meeting agendas, minute taking and followup of action items.
  • Preparation of agenda, papers and minutetaking at RCH Foundation Board Meetings and various subcommittee meetings.
  • Liaison with the Chairperson as required in the support of the Board and subcommittees.
  • Administrative support to the Chairperson where requested.
  • Maintenance of Board filing, recordkeeping and appointment records.


We are seeking an experienced Executive Assistant who excels in a fast-paced, multi-faceted environment and has excellent time management, attention to detail and organisational skills and will professionally manage & seamlessly execute all administrative & behind the scenes activities for the CEO.

Proven capabilities as an Executive Assistant are essential as is previous experience with board and committee papers. This role will commence mid/late March, ending in January 2024.
