Who are we looking for?

A key partner to the Enterprise Chief Executive Officer (CEO), the Executive Assistant (EA) will be integral in the support of achieving organisational strategic objectives. With a meticulous attention to detail, you will provide exceptional executive and personal support, maintain schedules and perform a variety of tasks across the business.

The focus of the role is to provide sophisticated, executive level administration support to the CEO, as well as build effective relationships with the broader leadership teams including crafting agendas, taking minutes and following up actions from Executive Leadership and other meetings.

Acting as a key partner to our Leader of 11,000+ employees globally, you will be responsible for:

Providing executive support including diary and email management, coordination for interstate and international travel, itinerary planning, document management and general administrative support including expenses. Supporting the production and coordination of quality documents including presentations, white papers, executive summaries etc. for the Executive Leadership Team, Board and relevant committees. Organising leadership meetings and broader events including attendee invites, room bookings, accommodation, catering etc. Handling of all confidential information with discretion. Problem solving – be an active self-starter who seeks out opportunities, proposes solutions, and thrives on continuous improvement.

What will you bring to the team?

Minimum 5+ years' experience as an Executive Assistant in a large, global matrixed organisation. Expert level written and verbal communication skills - proven interpersonal skills and the ability to build strong relationships with key stakeholders. High level proficiency in MS Office Suite including Word, PowerPoint, Teams, SharePoint, internal and external websites. Strong experience in diary management, travel arrangements, production of executive level documentation and correspondence. Agility - able to quickly adapt to ambiguity and changing situations. Mentoring experience – able to provide coaching to a team of Executive Assistants. Appropriate presentation and a genuine passion for supporting the CEO.

It is a requirement of the position the successful candidate will work a minimum of three days per week in our Melbourne CBD office (five days when CEO is in Melbourne).
