What's the role?
The role of the Genetic Counselling Patient Services Coordinator is to deliver excellent customer service to our patients requiring genetic counselling. The role will support the national Genetic Counsellor team to ensure professional, efficient, and empathetic service is provided to our patients.

Responsibilities include:

  • Work with the Genetic Counselling Team, IVF Specialists, Laboratory staff and patients to support the delivery of a smooth process for individuals and couples having IVF treatment, accessing prenatal services, undergoing reproductive carrier screening and other genetic tests through the Monash IVF Group.
  • Receive and process IVF referrals appointments including collecting patient demographics, and, obtaining relevant medical records and consents, etc.
  • Book genetic counselling/clinical geneticist appointments as appropriate for PGT, IVF, prenatal, and other genetic counselling patients updating and maintain accurate patient records
  • Provide quality administrative support to the genetic counselling team including sending letters, organising billing, reviewing invoices, etc.
  • Inform patients about required information for their genetic counselling appointments and an overview of genetic counselling journey.
  • Obtain and review referrals and reports, and in association with lead genetic counsellors, triage to clinical team.
  • Managing genetic counselling databases, calendars and updating policies and procedures.
  • Triage and assist with phone and email enquiries regarding services provided by the genetic counselling team.
  • Coordination, minute taking and management of intradepartmental team meetings.
  • Accurate data entry into the patient management system

Genetic Counselling requires an acute awareness of privacy and confidentiality. The successful applicant will be sensitive to the needs of our patients and ideally bring the following:  

  • Highly skilled and demonstrable medical/specialist reception and administrative experience
  • Experience in science or a related health discipline is strongly desired
  • Excellent telephone manner
  • Exceptional computer and IT skills, Microsoft Office Suite essential
  • Strong attention to detail
  • Ability to work cohesively within a multi-disciplinary team
  • Superior time management skills with proven ability to multitask
  • A willingness to embrace the Monash IVF Group principles – Care, Collaborate, Communicate, Commitment, Create.
  • Relevant working experience in health services
  • An understanding of the role and responsibilities of a Genetic Counsellor is highly desirable
  • Highly organised with excellent time management, attention to detail
  • High level of initiative
  • Able to work cohesively with a multi-disciplinary team
  • Strong verbal and written communication skills
  • Dynamic, flexible and adaptable in a fast-paced environment
