About Majarlin Kimberley Centre for Remote Health

Majarlin Kimberley Centre for Remote Health (Majarlin) is a University Department of Rural Health (UDRH) based on the University’s Broome campus. Majarlin is one of four components that forms the University’s RHMT program which sits within the Faculty of Medicine, Nursing, Midwifery and Health Sciences. The aim of the UDRH is to contribute to strengthening the allied health and nursing workforce in the Kimberley. This is achieved through student placement, clinician support, teaching and research.

About the role

The Senior Administrative Officer provides a wide variety of high-level administrative and operational support to ensure the effective functioning of Majarlin office in the areas of teaching, learning and research. Reporting to the Administration Coordinator and working closely with the Centre’s administration team, the Senior Administration Officer serves as a key liaison between internal teams and external stakeholders, ensuring smooth communication and efficient workflow. By leveraging advanced administrative skills and expertise, this position aims to enhance the overall productivity and success of Majarlin, while upholding high standards of service and compliance.

Key Responsibilities

  • Provide high level, effective administration services to support the strategic and operational direction of the Centre.
  • Carry out administrative responsibilities associated with coordinating meetings, including preparation of associated documentation and various correspondence, presentations and reports.
  • Provide financial support by maintaining financial records systems, processing payments, purchase orders and invoicing ensuring that budget expenditure is monitored and reported.
  • Provide excellent customer service to students and University stakeholders by providing quality responses to a wide range of queries, whilst liaising closely with other areas of the organisation.
  • Completing tasks and communications in an accurate and timely manner, whilst liaising closely with other areas of the organisation.
  • On occasion, supervise administrative staff and manage workflow of a team, including providing on the job training and advice to new staff on common University systems.
  • Work with detailed information; including data entry, maintaining spreadsheets, managing correspondence, collating data for report and under direction prepare a range of written communication.
  • Apply policies, practices and standards under general direction to organise and prioritise work, while using judgment to solve problems arising in own work area.
  • Participate and contribute as an effective member of the service team through contribution to the team’s planned goals by completing tasks in an accurate and timely manner.

Qualifications, skills & experience

  • Completion of a degree without subsequent relevant work experience, or
  • Completion of an advanced diploma qualification and at least 1 year subsequent relevant work experience, or
  • Completion of a diploma qualification and at least 2 years subsequent relevant work experience, or
  • Completion of a Certificate IV and extensive relevant work experience, or
  • Completion of a post-trades certificate and extensive (typically more than 2 years) relevant experience as a technician, or
  • An equivalent combination of relevant experience and/or education/training.
  • Demonstrated ability to work under general direction including capability to provide supervisory support within a team.
  • Problem-solving skills involve identifying issues, analysing potential solutions, and implementing effective strategies to overcome challenges.
  • Attention to detail skills involve carefully observing, identifying, and ensuring accuracy in every aspect of a task or process.
  • Demonstrated proficiency in Microsoft Office suite and ability learn computer software programs.
  • Highly developed communication skills, both written and verbal with the ability to build relationships, engage and foster collaboration.
  • Provide discretion and take responsibility for outcomes, including effective application of policies and procedures.
