About the role
We are looking for a motivated and experienced Personal Assistant to join our firm based in our Melbourne office. This role will provide administrative support to Andrew Fairley AM with his firm activities and external responsibilities. This includes acting as Chairman of an ASX listed company, Consul General for Finland in Victoria, corporate Board work for various companies, Director of high net worth family groups, significant involvement in philanthropic entities, and operator of a major food producing orchard.
We encourage applications from current law students nearing the end of their degree, as this role will provide beneficial exposure to the operations of a law firm.
Key responsibilities
The successful candidate will be responsible for, but not limited to:
- Assisting Andrew across his various roles and responsibilities including;
- Complex Hall & Wilcox matters in which Andrew acts as a Consultant;
- Various corporate Boards;
- Director of three high-net worth family groups;
- Managing Director of Yarra Valley Cherries;
- Deputy Chair of Mornington Peninsula Foundation and other philanthropic involvements;
- Honorary Consul General for Finland in Victoria.
- Extensive diary management;
- Monitoring and responding to emails;
- Organising meetings/interviews and events;
- Organising and coordinating travel arrangements;
- Drafting and preparing emails, letters and legal documents;
- Typing dictated documents and finalising documents;
- Telephone handling including answering incoming calls, taking detailed messages and making outgoing calls as required;
- Liaising with clients on the telephone or occasionally in person;
- Accounts work including preparing bills, entering and amending time, reconciling receipts and expenses to provide to accounts, and the preparation of monthly billing for various entities,
- Consul General for Finland responsibilities including responding to phone and email enquiries, booking appointments and typing certificates where required,
- Assisting with both electronic and paper filing; and
- Personal duties as and when required.
Skills and experience
We would like to hear from candidates with the following skills and experience:
- Previous experience as in administration is desirable, preferably within a law firm or as a Personal Assistant;
- Excellent interpersonal and communication skills;
- Proactive, reliable, punctual and flexible
- Detailed and precise organisational skills;
- Able to demonstrate initiative;
- Fast & accurate typing skills are essential;
- Proficiency in Microsoft office;
- Strong attention to detail, particularly in reviewing and preparing documents/emails; and
- Exposure to Xero is desirable, but not essential.
