**Key Responsibilities**:
- Oversee and maintain documentation related to office operations and projects.
- Handle accounts payable and receivable, ensuring accurate and timely financial processing.
- Perform payroll tasks, including processing payroll and maintaining payroll records.
- Provide administrative support to the Director and Managers, assisting with various tasks and projects as needed.
- Check orders and, occasionally, assist with receiving deliveries using a forklift if necessary (training will be provided).
- Coordinate and manage office processes, including IT support, HR functions, and project-specific documentation.
- Update and maintain registers such as pricelists, staff hours, orders, and enquiries.
- Handle phone calls, answering or forwarding them professionally as appropriate.
- Assist with the preparation and management of reports, forms, and compliance documentation.
- Handle communications, inquiries, and marketing tasks to ensure efficient office operations.
- Support onboarding new staff members, including processing new hire paperwork and facilitating inductions.
- Perform other ad hoc office and administrative duties to support the smooth functioning of the office.
- Organize office operations and actively work on improving systems and processes to enhance overall efficiency.
**Qualifications**:
- Proven experience in an administrative role, with experience in accounts payable and receivable preferred.
- Proficiency in MYOB for financial processing and record-keeping.
- Payroll experience is required but not essential; training will be provided if needed.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with Jotforms, Google Calendar, Dropbox, and social media platforms is a plus.
- Excellent communication skills, both written and verbal.
- Ability to handle phone calls professionally, answering or forwarding them as needed.
- Ability to handle sensitive information with discretion and confidentiality.
- Proactive attitude with effective problem-solving skills.
- Willingness to learn how to operate a forklift and assist with deliveries when needed.
- Available to start as soon as possible.
