Plan and bring to life Australia's leading screen industry conference, SCREEN FOREVER, the prestigious SPA Awards, and a line-up of other events and experiences that support and shape the industry.
Overview of key responsibilities which may evolve over time as events and experiences requirements change.
SCREEN FOREVER
- Oversee the planning and execution of a multi-day, multi-venue conference for over 1,000 delegates, including in-person and online participants—across sessions, marketplace meetings, and social events such as Opening and Closing night functions.
- Establish and facilitate weekly work-in-progress meetings, create a project plan and motivate the team to maintain and adhere to timelines while ensuring project milestones are met.
- Collaborate closely with the SPA conference team in areas such as programming, marketplace, partnerships, and communications to ensure all aspects of the event are clearly understood by venue staff, AV teams, and suppliers, and delivered to expectation and on budget.
- Design and manage all logistical elements of the event, including room configurations, furniture layouts, staging, freight, signage, catering arrangements, attendee flow, and break schedules.
- Prepare comprehensive runsheets, production schedules, operations manuals, and other key documentation to support every element of the conference.
- Ensure the high quantity of content is delivered in the correct format and on-time to the AV team.
- Responsbility for appointing and supervising casual staff as required.
- Brief and direct designers and editors for video and motion graphic packages
- Website development – oversee the digital event platform; assist in the creation of content, ticketing, meetings and registration, ensure logical content structure and user experience. Assist with conference app development as required.
- Responsibilty for overall operations, logistics and production on-site including daily production briefings.
SPA AWARDS
- Set and manage project timelines and wips for the Awards from entry period, judging process and voting through to the production of the Awards ceremony and red carpet event.
- Support members submitting applications and video assets.
- Accountability for briefing, delivery, and approval of all video assets with production house.
- Negotiate and manage arrangements with external vendors (AV, venue, catering, etc.).
- Source, contract, and brief and coordinate hosts and presenters, including travel.
- Manage creation and delivery of creative elements such as program and signage along with runsheets, scripts, schedules and other event documentation.
SPA EVENTS (other)
- Set up and run kick off meetings, weekly wips and debriefs and create project plans for all event types (webinars, courses, industry briefings, policy events, dinners).
- Source venues and negotiate with suppliers to come in on budget.
- Prepare event documentation, including runsheets, production schedules, operations manuals, and table plans.
- Coordinate with internal teams to manage speakers/panellists, handle logistics, and collect materials.
- Develop event websites using crm and event software.
- Manage customer journeys end to end - eg. invitations, RSVPs, confirmations and oversee onsite execution.
- Set up and produce webinars using Zoom.
- Design, distribute, and analyse post-event surveys; maintain accurate databases.
- Support internal/external reporting for SPA Council and partners.
About You
- 5+ years of experience in producing both large scale events and smaller gatherings plus online events.
- Strong project management, planning, and detail orientation.
Proactive, accountable, able to work independently or as part of a team.
You have a positive, can-do attitude, are adaptable, and bring good energy to your team remaining calm in high pressure situations.
- Skilled at coordinating multiple tasks to deliver timely, quality results.
- Clear written and verbal communication.
- Effective interpersonal skills for representing Screen Producers Australia with clients, stakeholders, venues, and suppliers.
- Proficient in digital software programs. Zoom, Canva, Survey Monkey and event/project management software, CRM's and Microsoft Office inc Planner or similar.

Additional Information
Some after-hours work—including event attendance and travel—may be required. The ability to travel to the Gold Coast for SCREEN FOREVER, 26–30 April 2026, is essential.
