Office Coordinator

Our client is on the lookout for a highly organised, proactive Office Coordinator to keep their offices running like clockwork. If you're someone who takes pride in being the go to person, thrives on variety, and enjoys supporting senior leaders and wider teams behind the scenes, this role is for you.
You'll play a key role in ensuring the smooth running of the office, from managing executive schedules to keeping supplies in check and supporting cross functional events. This is the ideal role for someone who enjoys wearing many hats, brings energy to each day, and thrives in a fast paced, people driven environment.
Other Responsibilities Include:
- Being the trusted support for senior leaders: schedule meetings, coordinate travel, manage diaries, expenses, and format high quality documents.
- Overseeing the daily needs of the office, from stocking supplies and snacks to keeping IT equipment organised.
- Coordinating and scheduling meeting rooms, staff meetings, and company wide events in collaboration with HR, Marketing and other teams.
- Being the first point of contact for office visitors and guests.
- Liaising with Finance for accounts payable, invoice processing, and vendor coordination.
- Supporting team events, internal projects, onboarding and offboarding processes, and localised training with the HR team.
- Keeping operations running smoothly across both all locations, no two days will look the same
Required Skills and Experience:
- Minimum of 3 years in an office coordination or administrative support role.
- Strong experience managing multiple executive diaries, meetings and travel itineraries.
- A strong working knowledge of Microsoft Office, especially Outlook, Word, Excel, and PowerPoint.
- Excellent time management and attention to detail, you never miss a beat.
- Friendly, professional communication style and ability to work well with stakeholders at all levels.
- Comfortable working independently while being a collaborative team player.
- Proactive, motivated, and always ready to take the initiative.
- Due to client requirements, Australian citizenship and eligibility to obtain Baseline Security Clearance is essential.
