About the Role:
We are seeking a dedicated Administration Assistant to support our daily operations. This role focuses on the responsibility for managing administration work related to the day to day operation. This role involves documentation preparation and management, roster management, data entry and book-keeping and communication management
Key Responsibilities
- Oversee daily administrative functions, ensuring efficient workflows and smooth coordination across transport operations.
- Serve as the main point of contact for escalated inquiries from drivers, clients, and internal teams, providing prompt and effective resolutions.
- Manage documentation and application processes, ensuring compliance with safety regulations, and the Chain of Responsibility.
- Verify driver timesheets and accurately maintain payroll databases, upholding confidentiality and data integrity at all times.
- Ensure accurate and timely data entry, reporting, and record-keeping across all transport and administrative systems.
- Facilitate the onboarding of new customers and drivers, ensuring seamless integration and adherence to company standards.
- Proactively manage relationships with customers, drivers, and internal stakeholders to maintain a high level of service and operational efficiency.
- Support the Transport Manager with day-to-day administrative and operational activities, including workflow coordination and compliance reporting.
- Monitor and maintain compliance records, including driver licences, vehicle registrations, insurance documents, and induction/training records.
- Coordinate maintenance and service scheduling for fleet vehicles, ensuring minimal downtime and adherence to maintenance plans.
- Contribute to continuous improvement initiatives, identifying opportunities to streamline processes and enhance productivity.
- Manage communication between departments, ensuring accurate information flow regarding deliveries, schedules, and customer requirements.
- Assist with incident reporting and investigations, maintaining detailed records and supporting follow-up actions as required.
- Participate in team meetings and training, contributing to a culture of safety, accountability, and operational excellence.
Required Qualification
- An associate diploma or degree in business administration, office management, or a related field
- Minimum of 6 months experience working in Australia or experience in a similar field
- Valid working rights in Australia
- Valid police check
- License (not mandatory)
Desired Skills:
- Strong analytical and time-management skills for accuracy of data entry.
- Attention to detail and high level of accuracy in work.
- Strong verbal and written communication abilities, with advanced computer skills, particularly in Microsoft Excel and other Office applications.
- Ability to work under pressure
- Good knowledge is using Xero and other Inbuilt company applications
- Excellent organizational and interpersonal skills.
Availability Requirement
Immediate start available. Applicants should be able to work at least five days a week, 9 a.m. to 5 p.m. Applicants residing in or near Parramatta and Camellia are highly preferred.
