Legal Office Manager & Paralegal

Full-time | Dee Why**

Knoke Legal is a boutique firm known for high-quality work in estate planning, probate, conveyancing and property, commercial matters, and general practice. As our practice continues to grow, we are seeking an experienced and highly organised Legal Office Manager & Paralegal to become an integral part of our team.

This senior role is ideal for someone who takes initiative, thrives in a fast-paced environment, and enjoys being hands-on in all aspects of legal practice management.

Key Responsibilities

Manage day-to-day operations of the firm, including workflow systems, compliance and procedure management

Provide high-level paralegal support in estate planning, probate, and other legal matters

Draft letters, contracts, probate documents, deeds and legal correspondence

Assist with estate administration, including preparing probate applications, transmissions, notices and executor support

Liaise confidently with clients, agents, banks, solicitors, accountants and external stakeholders

Manage accounting processes, including invoicing, receipting and file compliance

Supervise our junior support staff and assist in coordinating client appointments, internal scheduling and document execution

Contribute to ongoing improvements in systems, templates and operational efficiency

About You

Minimum 3–5 years' experience in a legal practice

Strong knowledge of conveyancing, probate and estate planning (essential)

Confident using PEXA, Smokeball (or similar software), NSW LRS, and other online systems

Exceptional attention to detail and ability to manage competing deadlines

Professional and warm communication style with strong client-service focus

Ability to work autonomously and proactively resolve issues before they arise

Strong organisational skills, initiative and willingness to support the wider team

Experience in a boutique or small firm environment will be highly regarded
