Project Coordinator – High-End Residential Landscape Construction

About the Role:
We are seeking an experienced and motivated Project Coordinator to join our team. This is a pivotal role within the business, responsible for coordinating all aspects of our landscape construction projects – from client communication and supplier liaison to on-site management and project profitability tracking.
This role is client-facing and ideal for someone who thrives on organisation, clear communication, and delivering outstanding results. You'll work closely with management, our Head Estimator, suppliers, subcontractors, and clients to ensure every project runs smoothly, safely, and profitably.
As part of your role, you'll also work alongside our Head Estimator to review and confirm tenders for new projects, ensuring that budgets, scopes, and resource requirements are accurately aligned before commencement.
This position offers flexibility, with most work done remotely, complemented by regular site visits across Melbourne.
Key Responsibilities:
- Coordinate all aspects of landscape construction projects, from planning through to completion.
- Act as the main point of contact for clients, suppliers, and subcontractors.
- Collaborate with the Head Estimator to review tenders, confirm project scopes, and ensure accurate costings prior to project handover.
- Assist in project scheduling, procurement, and resource management.
- Monitor and report on project budgets, timelines, and profitability.
- Manage and maintain OHS compliance on-site, ensuring safety standards are met.
- Support the management team with project documentation and progress reporting.
- Use our job management software to update project status, track variations, and manage communication.
- Foster positive relationships across all project stakeholders and contribute to our great team culture.
About You:
We're looking for someone with genuine experience and passion for the landscaping industry. You're organised, proactive, and confident dealing with clients, contractors, and suppliers alike. You enjoy being part of a supportive team while taking ownership of your work.
You will bring:
- Proven experience in the landscape construction industry (project coordination or management role preferred).
- Strong understanding of residential construction processes and sequencing.
- Excellent communication and client relationship skills.
- Strong organisational and time management abilities.
- Good computer literacy and familiarity with job management/project software.
- Working knowledge of OHS requirements in a construction environment.
- Current driver's licence and ability to travel to sites around Melbourne.
