We are seeking a Property & Finance Administrator to join our close-knit, high-performing team. You will work directly with the owner and take full ownership of the financial, administrative, and operational success of our boutique commercial property portfolio.


The Role

This is a hands-on, end-to-end position where you will combine financial administration, lease management, and building operations. Your attention to detail, communication skills, and financial acumen will be key to supporting building performance, tenant satisfaction, and compliance.

You'll have control and ownership of the portfolio as a one-person department, with direct support from above.

Key Responsibilities

Accounts & Financial Administration

  • Process AP invoices, tenant billing, and weekly financial uploads
  • Manage arrears and debt recovery processes
  • Support end-of-month reporting, accruals, prepayments, and forecasting
  • Assist with annual budget preparation and outgoing reconciliations

Lease & Tenant Administration

  • Maintain accurate lease and tenant records, including insurances, bank guarantees, and security deposits
  • Coordinate rent reviews (Fixed & CPI), lease renewals, and holdover management
  • Prepare and issue formal correspondence, including:

  • Breach notices & arrears letters

  • Extensions of term and holding over agreements
  • Deeds of variation, assignment, and surrender
  • Ensure all documentation is compliant and properly executed
  • Liaise with legal representatives and stakeholders as required

Building Operations & Maintenance

  • Manage all maintenance, repairs, compliance obligations, and contractor coordination
  • Maintain building compliance records, inspection logs, and service agreements

Tenant Relations

  • Act as the primary point of contact for tenants
  • Deliver excellent customer service, promptly resolving issues and fostering strong relationships
  • Support tenant onboarding and exit processes to ensure smooth transitions

Compliance & Systems

  • Maintain compliance logs, tenancy schedules, and key dates
  • Champion data integrity across property management systems

What You'll Bring

  • A can-do attitude and the ability to work independently as part of a small, get-it-done team
  • Proven experience in property administration, building operations, and financial processes
  • Strong understanding of commercial leasing practices, documentation, and property legislation
  • Experience preparing and managing lease documentation, breaches, deeds, and renewals
  • Excellent organisational skills and ability to manage competing priorities
  • High attention to detail and problem-solving ability
  • Strong written and verbal communication skills
  • Intermediate to advanced MS Office skills (Excel, Word, Outlook)
  • Experience with Accounting systems essential - Xero preferred.
