Position Overview

As the Corporate Services Manager for the Brisbane office, the candidate will be responsible for managing key operational functions critical to the growth and efficiency of the Kuremara hub. This role is responsible for ensuring the smooth operation of Kuremara's services, including rostering, timesheet reconciliation, invoicing, HR compliance, business process optimization, and accreditation. The candidate will oversee operational support for the Brisbane office, as well as other Kuremara hubs, ensuring the effective integration of systems and processes. Additionally, the candidate will be responsible for managing the accreditation processes across all Kuremara hubs.

Key Responsibilities

  • Rostering Support Workers: Manage and coordinate the scheduling of support workers across the Brisbane hub to ensure that all shifts are filled efficiently and that care needs for participants are met.
  • Timesheet Reconciliation and Approval: Oversee the reconciliation of support worker timesheets, ensuring all hours are accurately recorded and approved for payment, while ensuring compliance with NDIS and Kuremara standards.
  • Invoicing for Services: Develop, issue, and manage invoices for services rendered to participants. Ensure that invoices are accurate and timely, facilitating prompt payments from the NDIS.
  • Accreditation and Compliance (Across All Hubs): Ensure that all Kuremara hubs (including Brisbane) adhere to relevant compliance regulations and accreditation standards. Assist in preparing for audits and maintaining accreditations required for all hubs' operations.
  • HR Compliance: Support the HR team in ensuring all local and national HR compliance requirements are met, including policies around employee records, training, and ongoing compliance with the Fair Work Act and NDIS guidelines.
  • Business Expense Reconciliation: Reconcile business expenses for the Brisbane hub and ensure spending aligns with the budget. Track and report any discrepancies to senior management for review.
  • Service Agreements: Generate and manage service agreements for confirmed inquiries and leads that convert to clients. Ensure that all service agreements reflect the terms and expectations of both Kuremara and participants.
  • Business Process Analysis and Optimization: Conduct regular business process analysis for the Brisbane hub, identifying areas for improvement. Lead efforts in re-engineering processes to optimize operations, reduce inefficiencies, and improve overall service delivery.
  • System Management and Transition: Oversee the migration of participants onto Kuremara's new participant management system, VisualCare, ensuring smooth data migration, participant tracking, and reporting.

Skills and Qualifications

  • Experience: Proven experience in operational management, preferably in the NDIS or healthcare sector, with a focus on rostering, invoicing, and HR compliance.
  • Software Proficiency: Proficiency in Xero (accounting software), Adobe Suite, Microsoft Word, Employment Hero, and VisualCare (participant management system), along with both legacy and current software platforms used by Kuremara.
  • Business Process Expertise: Strong skills in business process analysis and re-engineering to optimize operations.
  • Compliance Knowledge: Solid understanding of HR compliance, NDIS regulations, and industry standards related to supported care services.
  • Communication Skills: Excellent written and verbal communication skills for interacting with internal teams, clients, and external partners.
  • Problem-Solving: Ability to identify operational challenges and develop effective solutions to address them.

Qualifications

  • Educational Requirements: A Bachelor of Business, Bachelor of Commerce, or Bachelor of Accounting is required.
  • Previous experience in managing operations in a similar role is highly desirable.
