**The Administration Officer, Trust Accounts is required to manage and process all matters relating to prisoners' trust funds and valuables. This includes activities such as banking of monies and monthly reconciliation of trust funds.
In this role you will:
o Control and maintain all monies receipted for prisoner trust funds, prepare necessary documentation for banking of same, including attending to any general enquiries regarding prisoners' trust monies.
o Check and compile weekly prisoner remuneration payments, including the correct payment of the amenities allowance and board and lodging where applicable.
o Prepare discharge documentation relating to any trust monies held, including travel arrangements for prisoners.
o Prepare documentation for valuables and monies for prisoners' transfer.
o Compile all trust fund expenditure vouchers.
o Prepare monthly reconciliations of all prisoner trust funds.
o Oversee the preparation of documentation associated with the disposal of prisoners' unclaimed cash and valuables.
o Undertake a range of administrative and management support activities to enable a responsive service to the Department.
o Comply with all policies, procedures and instructions given for workplace health and safety at the workplace by the Department. In addition model appropriate behaviours to ensure employees, contractors and visitors are not exposed to risks to their health and safety.
The essential requirements for this role are:
o Competence in handling cash and maintaining an accountable recording system.
o Proven administrative skills.
o Ability to apply and understand departmental policies and procedures.
o Planning and organising abilities to ensure tasks are completed within the required deadlines and in accordance with all relevant policies and procedures.
o Ability to use judgment and discretion with confidential information.
o Demonstrated ability to listen, understand and speak clearly to a wide range of audiences. Written skills with the ability to summarise information and data.
o Teamwork skills with the ability to work without supervision and as part of the broader team. In addition, demonstrated ability to collaborate and contribute to team results.
o Information technology skills at a competent level with the willingness to learn new IT skills and use internal information management databases as well as Microsoft Office software.
o Well developed written and verbal communication skills with a focus on providing strong customer service.
