About The Role:
They have a permanent full-time opportunity for a Project Coordinator based in their Sydney CBD office. Reporting to the General Manager, you will provide high-quality administrative, coordination, and reporting support to ensure the successful delivery of strategic projects. Collaborating with project teams, stakeholders, and leadership, you will play a key role in maintaining smooth operations, compliance, and timely achievement of project milestones.
You Will:
- Track and update project schedules and tasks using project management tools, monitoring team performance, and ensuring timelines and deliverables are met.
- Develop, update, and manage project documents such as contracts, reports, and meeting notes, supporting communication with stakeholders, preparing presentations and updates, and keeping document repositories organized.
- Assist with Project/PMO reporting cycles, including collecting data, formatting reports, and submitting them, while also contributing to cost and schedule control by tracking changes and reporting discrepancies.
- Monitor project expenses to stay within approved budgets and overseeing resource use to improve efficiency and minimize waste.
- Coordinate with contractors and vendors to ensure timely delivery of goods and services, handling supplier invoices, and assisting with contract negotiations when terms are revised.
- Arrange project meetings, preparing agendas and materials, taking and sharing meeting minutes, and following up on action items.
- Ensure project activities comply with internal policies and standards and supporting quality assurance to ensure deliverables meet client and stakeholder expectations.
About You
- Qualification in Project Management, Engineering, or a related field
- Strong organisational and time management abilities.
- Skilled in using project management software (e.g., MS Project, Primavera, or similar) for task tracking and scheduling.
- Detail-oriented with a strong focus on maintaining high-quality standards in all tasks.
- Collaborative, adaptable to shifting priorities, and able to support team dynamics effectively.
- Basic understanding of financial and budgeting principles, with the ability to monitor budgets, track expenses, and assist with cost control.
- Proficient in preparing, formatting, and managing documents, reports, and presentations.
- Demonstrated experience using project management tools to ensure efficient project delivery and coordination.
