Purpose of the Position

The Senior Travel Officer is responsible for the processing of complex Travel Requests (student and staff), primarily related to Travel funded under Away from Base (AFB).

Duties

  1. Assist in the review, and maintenance, of processes and procedures related to relevant policies, to enhance clarity around Student Experience responsibilities and functions to both internal and external stakeholders.
  2. Process and respond to complex queries and requests related to.

  3. Travel requests

  4. Travel costings
  5. Travel bookings
  6. Travel payments, including accounts payable and credit card processing
  7. Travel approvals
  8. Travel reconciliations, including acquittals

  9. Undertake the correction of data and processes related to, the Customer Relationship Manager (CRM) System, FileMaker Pro, and any related data systems used by Travel Services.

  10. Undertake, participate, and provide evidence-based responses in relation to audits, queries and mid-level administrative tasks as required by internal and external stakeholders, or as required by the Team Leader.
  11. Under direction of the Team Leader, assist in the maintenance of processes related to ASQA, TEQSA, NCVER, and/or Commonwealth/State audits and reforms, NIAA and/or Commonwealth/State audits and reforms, including the introduction of changes to funding requirements resulting from legislative changes at Commonwealth/State levels.
  12. Promote relevant Travel Services policies related to student and staff travel and provide advice and guidance to internal and external stakeholders regarding the application of these.
  13. Assist in the organisation of student and staff induction segments related to Travel Services, including resource development and maintenance, as required.
  14. Undertake user testing and small projects independently.
  15. Comply with relevant document storage policies, guidelines, and procedures.
  16. Other duties within the range of skills normally associated with this classification as directed by the Team Leader – Travel Services.

Selection Criteria

  1. Demonstrated ability to work effectively in culturally diverse teams within the social, political, and cultural environments of Aboriginal and Torres Strait Islander families, communities, and organisations.
  2. A minimum tertiary qualification of Certificate III level or higher in a relevant discipline (or working towards completion of), or a mix of tertiary qualifications and relevant experience in a similar role.
  3. Demonstrated interpersonal and communication skills with proven experience to communicate with Aboriginal and/or Torres Strait islander people and demonstrated capacity to work within the social, political, and cultural environments of Aboriginal and/or Torres Strait Islander communities and organisations.
  4. Demonstrated experience to undertake personal initiatives, making decisions appropriate to the level of responsibility of the position, time management skills, initiative, and managing workload priorities.
  5. Demonstrated capability in the understanding and interpretation of procedures that relate to Commonwealth/State legislation.
  6. Demonstrated capability in participating in a diverse team to obtain outcomes of success.
  7. Understanding of Work Health and Safety, Equity and Anti-Discrimination principles and practices, and ability to comply with Institute WHS Policies and Procedures.
