About the Role
As a rapidly growing Startup, our Founders are busy and pulled in 50 different directions so we need an Executive Assistant to support our Founders.
This role goes beyond traditional administrative support – you'll be a strategic partner who can execute on projects whilst keeping calendars, inboxes, to do lists and travel schedules super organised.
You could be an EA with experience in startups or someone from a consultancy or ops background that is keen to work closely with our Founders whilst still being happy to do the admin side of the role too.
This role is based in Sydney with hybrid working in our CBD office.
Key Responsibilities
Executive Support & Administration
Provide comprehensive administrative support to our Co-Founders
Manage complex calendars, scheduling meetings across multiple time zones and coordinating with internal and external stakeholders
Prepare meeting materials, take detailed notes, and ensure timely follow-up on action items
Handle confidential information with discretion and maintain the highest level of professionalism
Project Management & Operations
Lead and execute special projects including office space searches, lease negotiations, and vendor management
Coordinate company events, team off sites, and board meetings from conception to completion
Manage travel arrangements and logistics for leadership team and visiting stakeholders
Work on projects as they come up, this might include putting first versions of HR policies together (we're not expecting you to be a HR expert but you could help design an onboarding process or templates for manager 1:1s)
Required Qualifications
Either 2+ years of executive assistant experience in a startup environment OR broader project/ops/strategy experience with high attention to detail that is happy to do the admin side of the role
Proficiency with modern productivity tools including Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
Experience with project management and collaboration platforms, particularly Notion
Strong project management skills with ability to handle multiple priorities simultaneously
Excellent written and verbal communication skills
A positive, hungry attitude where no task is too small for you and if it's something you haven't done before, you'll give it your best shot
