Overview of the Position

The Indigenous Shared Services Group (ISSG) provides a culturally appropriate environment for Aboriginal businesses to co-invest, pool and share resources so that Aboriginal individuals, families and communities can trade and invest to create a self-determining economic future.

This role is responsible for coordinating the mobilisation and smooth operation of transport shutdown activities, ensuring strict adherence to safety and compliance standards. It involves effective stakeholder engagement, scheduling, and logistical support to deliver seamless project execution. The position also supports HR functions and continuous improvement initiatives, with occasional travel to site as required.

Responsibilities

Shutdown coordination and operations:

  • Lead end-to-end mobilisation of transport shutdown drivers, overseeing planning, scheduling, allocations, and project readiness.
  • Support on-site shutdown operations to ensure seamless execution and staff coordination.
  • Manage rosters and resource allocation using client (FMG, Hancock Iron Ore, Rio Tinto, BHP) and internal scheduling systems.
  • Coordinate with client site schedulers to fulfil mobilisation requirements.
  • Organise travel, accommodation, and site access for personnel.
  • Act as logistics contact during shutdowns, resolving operational issues promptly.
  • Oversee bus mobilisation and demobilisation as needed.
  • Provide weekend operational support to maintain project continuity.

Safety & compliance:

  • Adhere to Company safety and health standards, ensuring all personnel have relevant information to comply with site and company policies.
  • Treat all staff, colleagues and stakeholders with respect, courtesy and professionalism
  • Ensure all safety requirements relevant for operational delivery are communicated clearly before mobilisation
  • Champion a zero-harm safety culture across all operations

Stakeholder & team engagement:

  • Develop and sustain strong relationships with clients, drivers, and internal teams.
  • Communicate effectively to align stakeholders on schedules, expectations, and changes.
  • Deliver exceptional customer service both internally and externally.

Additional support duties:

  • Support shutdown reporting, closeout processes, and continuous improvement initiatives.
  • Assist with HR and recruitment tasks, including onboarding, inductions, and qualification tracking.
  • Coordinate scheduling and operational support as required.
  • Travel to sites when needed to provide hands-on operational support.

  • Proven experience in shutdowns, transport, or logistics (desirable).
  • Strong organisational, scheduling, and time management skills.
  • Ability to adapt quickly to last-minute changes and urgent requests.
  • Excellent written and verbal communication skills.
  • High attention to detail with a focus on accuracy and compliance.
  • Strong stakeholder engagement and relationship-building skills.
  • Computer literacy – Microsoft Office plus operational systems.
