THE POSITION:

As an Office Administrator, you will play a vital role in ensuring smooth day-to-day administrative operations within the office. Your responsibilities will include managing correspondence, facilitating communications, supporting scheduling and coordinating office activities and much more.

RESPONSIBILITIES:

  • Reviewing job status using inhouse system for all projects
  • Co-ordinating all service call-outs and technician allocation to service jobs
  • Ensuring service jobs are completed in a timely manner and reporting back to key clients regarding service works/jobs progress and follow-up where needed
  • Administration of company databases
  • Maintain effective filing and documentation systems
  • Assist with scheduling and calendar management
  • Act as a point of contact for all employees, providing administrative support and managing their queries
  • Liaising with OHS Co-ordinator and other WHS /OHS providers to ensure compliance is met and maintained
  • Querying and resolving with project manager/line manager any variances with invoice to purchase order before sending to customer
  • Coding and processing of NSW employee expense claims, then processing through to Head Office for re-imbursement on approval of line manager/State Manager
  • Assisting State Manager to co-ordinate all office activities and operations to secure efficiency and compliance to company policies and procedures
  • Manage agendas/travel arrangements/appointments etc for senior management
  • Coordinate office supplies and inventories
  • Support team communications and correspondence
  • Handle reception duties as required

SKILLS & REQUIREMENTS:

  • Minimum 5-7 years experience in a similar role
  • Accounts knowledge
  • Professional and excellent communication skills
  • Ability to prioritise and make decisions
  • Have a clear understanding of managing a small office

SALARY: $80-85K + Super
