Our Legal & Corporate Secretarial team supports is essential in providing corporate secretarial support to the Board, as well as providing expert legal advice and contracting assistance to both researchers and the broader organisation.

We now have an opportunity for a Corporate Secretarial Officer to join our diverse team. This role collaborates broadly across the Institute to provide high level administrative and secretariat support to the Board, and the Senior Lawyer/Company Secretary. This includes managing and producing board packs and minutes, actioning and drafting correspondence, liaising with stakeholders, diary and appointment management, and supporting the Institute's insurance portfolio.

In this role, you will:

  • Provide proactive, professional, accurate, timely and efficient corporate governance and administrative support.
  • Act as a liaison between the Board, executive team, and external stakeholders.
  • Attend meetings, prepare agendas, minutes and board packs and prepare correspondence.
  • Oversee the renewal and management of the Institute's insurance portfolio, including notification and management of insurance claims and incidents, ensuring timely reporting and resolution.
  • Manage statutory registers, reconcile credit card expenses, issue purchase orders, managing payment of expenses.

Based in our modern offices within Perth Children's Hospital, this full-time role will be offered on an ongoing basis. Part-time (0.8 FTE) will be considered for the right candidate.

About You

The successful candidate will be positive and proactive, with demonstrated experience in this field. Tertiary qualifications or equivalent in office administration or related is desirable.

You will also possess the following skills and experience:

  • Exceptional organisational skills, prioritising administrative tasks and systems, including managing competing tasks.
  • Proven ability to manage confidential and sensitive information with discretion and integrity.
  • Excellent communication skills, including interpersonal skills and telephone manner.
  • Ability to work in a dynamic and ever-changing environment effectively.
