About the role

Spruson & Ferguson is seeking a highly organised and professional Executive Assistant to support our Managing Director in a pivotal role within our Sydney office, located in the heart of Darling Harbour.

In this role, you will be proactively managing schedules, streamlining administrative tasks, and ensuring the seamless flow of communication and priorities. Your ability to anticipate needs, stay one step ahead, and maintain absolute confidentiality will be key to your success.

Key Responsibilities

  • Provide high-level executive support to the Managing Director, including calendar and inbox management, travel arrangements, expense processing, and confidential correspondence.
  • Coordinate meetings and events, including scheduling, logistics, agendas, minutes, and presentation materials.
  • Prepare and distribute Board and executive-level documentation with accuracy and timeliness.
  • Support reporting requirements by gathering, consolidating, and analysing business information.
  • Liaise effectively with internal and external stakeholders to support business objectives.
  • Provide additional administrative support to the Head of Operations, including managing travel and accommodation arrangements as required.
  • Deliver professional documents and presentations using advanced MS Office skills.
  • Such other responsibilities as directed by Spruson & Ferguson from time to time commensurate with your role as an employee of the Company.

About You

The successful applicant will have:

  • Minimum 5 years' experience in a similar role, ideally within a public company or Company Secretarial function (preferred but not essential).
  • Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint).
  • Strong communication, interpersonal and influencing skills across all levels.
  • High level of business acumen with strong financial and reporting capabilities.
  • Exceptional time management, critical thinking, and attention to detail.
  • Professional, discreet, and confident when handling confidential or sensitive information.
  • Ability to manage multiple priorities and remain composed under pressure.
  • Adaptable, proactive, and solutions-focused with a polished presentation and professional judgment.
