Hawthorn, Victoria, Australia Swinburne University of Technology Full time $60,000 - $90,000 per year
  • Provide Essential Support to Our Academic Leaders
  • Ongoing, full time (1.0) and ongoing, part time (0.6) at our Hawthorn campus
  • HEW 5 + 17% super and staff benefits

About the Role

Are you organised, proactive, and the person everyone turns to when things need to run smoothly? We're looking for a motivated Academic Support Officer to join our team and play a key role in supporting our academic leaders and staff.

In this role, you'll be at the centre of our School's operations — keeping things on track behind the scenes so our teaching, research, and student experience can thrive. You'll work closely with Department Chairs, academics, and professional staff to provide high-level administrative support, streamline processes, and help deliver day-to-day activities with efficiency and care.

A major part of your role will focus on coordinating sessional staff engagement and administration, as well as supporting committees and meetings. You'll also contribute to improving systems and processes, manage key compliance and operational tasks, and provide flexible support across teams — ensuring everything runs seamlessly from start to finish.

About You

We're seeking someone who thrives in a dynamic, people-focused environment and takes pride in being the person everyone relies on to "get things done." You'll bring initiative, excellent organisational skills, and a strong eye for detail, along with the confidence to build relationships and communicate effectively with people at all levels.

To succeed in this role, you will have:

  • Proven experience delivering high-level administrative support to senior stakeholders.
  • Strong organisational and time management skills, with the ability to juggle priorities and meet tight deadlines.
  • Sharp analytical skills and a proactive approach to improving processes and systems.
  • Excellent written and verbal communication skills, and the ability to build strong working relationships with a diverse range of people.
  • Advanced digital skills, including experience with Microsoft Office (Word, Excel, PowerPoint), databases, and electronic diary management.
  • Experience working with budgets or financial processes is an advantage.

Qualifications

Completion of a degree without subsequent relevant work experience; or completion of an associate diploma and subsequent relevant work experience; or an equivalent combination of relevant experience and/or education/training.
