The Role:
We're looking for a highly organised, proactive Assistant Producer to support our production team across multiple projects. This full-time hybrid role, ideal for someone ready to step up from a Production Assistant position or with 1–2 years of experience in events, activations, or creative production.
You'll work closely with Producers, Senior Producers, and the Executive Producer to help deliver best-in-class brand experiences - supporting across logistics, supplier coordination, event documentation, and on-site execution. From supplier bookings and event schedules to bump-in logistics and asset tracking, you'll take ownership of clearly defined work streams while learning the ropes of large-scale event delivery.

It's a hands-on role designed to grow into a Producer position, with plenty of room to make your mark.
Key Responsibilities
Production & Logistics:
- Coordinate specific production streams such as furniture hire, catering, signage, stock, consumables, styling & theming or freight/courier coordination
- Manage supplier comms, quotes, bookings, and timelines under the guidance of a Producer
- Assist with developing production schedules, run sheets, floor plans, and inventory trackers
- Attend site for bump-in, live event, and bump-out, owning clearly defined areas/zones
- Support with on-site logistics including crew check-ins, signage placement, and supplier coordination
Creative & Documentation:
- Support Producers in briefing suppliers and collating creative assets for print and production
- Support / prepare elements of client-facing documents (e.g. WIPs, presentations, timelines) for internal sign-off
Team & Process Support:
- Provide day-to-day administrative support to PMs and EPs
- Keep internal systems, trackers, and Monday boards up to date
- Identify opportunities to improve efficiency and flag potential issues early
- Manage the office calendar and the scheduling of key meetings across the team
- Serve as the primary point of contact for office-related inquiries and correspondence.
You'll Bring:
- You're passionate about the events industry, a team player and know how to 'get sh*t done'
- 1–2 years' experience in events, experiential, production or a similar fast-paced environment
- A strong sense of initiative, excellent organisational skills, and great attention to detail
- Ability to juggle multiple priorities calmly and collaboratively
- A genuine love of events, activations, and creative work
- Clear and professional, and confident communication skills with suppliers and clients
- Good understanding of budget management principles.
- Proficiency in Microsoft Office / Google Suite; experience with
Slack. - Flexibility to travel and work on-site during bump-in, live event, and bump-out periods (including occasional weekends)
Why Popology:
- Work with leading global brands on iconic Australian events and activations
- Collaborative, creative, and high-performing team culture
- Real growth pathways - this role is designed as a stepping stone into Producer roles
- Exposure to both creative and production processes, not just logistics
- Sydney-based with national touring opportunities
