About the role

We are seeking a part-time Medical Secretary/Personal Assistant to join our team at Western Urology in Subiaco, WA. In this vital role, you will provide comprehensive administrative support to two of our medical professionals, ensuring the smooth running of our practice. With your exceptional organisational skills and attention to detail, you will be an integral part of our healthcare team.

What you'll be doing

  • Be the first point of contact for patients attending Western Urology greeting all patients with warmth and professionalism
  • Effectively managing all aspects of reception: welcoming patients, answering phones, booking appointments and managing emails
  • Maintaining detailed patient records and medical documentation
  • Assisting with scheduling and booking theatre lists
  • Liaising with patients, hospitals, health funds, surgeons, anaesthetists and other health professionals.
  • Providing a high level of customer service to patients and visitors

  • Exceptional communication and interpersonal skills with a natural ability to build rapport and show empathy
  • Strong organisational and time management skills, with the ability to multitask and prioritise effectively
  • You are calm under pressure and can manage a busy clinic and waiting room with grace
  • You are professional with unwavering reliability
  • Experience in a medical secretary or personal assistant role, ideally with experience in a surgical practice.
  • Proficiency in using Genie, Eclipse and Microsoft office software.
  • Keen attention to detail and a commitment to maintaining accurate records and documentation
  • Ability to work independently and as part of a team
