About the Role
As the Administration Manager, you'll play a key role in keeping our organisation running smoothly. Reporting to the CFO, you'll oversee our South Brisbane office, manage remote co-working spaces, and ensure our facilities, vehicles, and administration functions are well-coordinated. This role combines operational oversight with hands-on problem solving, vendor and fleet management, and managing one direct report to ensure our people have the resources and environment they need to do their best work.
The core responsibilities of the role include:
- Oversee daily management and maintenance of the South Brisbane office and remote spaces
- Manage vendor relationships, including building management, cleaners, and service providers
- Ensure facilities are safe, well-maintained, and fully operational
- Strategically manage office resources, supplies, and budgets
- Develop and manage the company vehicle fleet, including sourcing, maintenance, insurance, and compliance
- Oversee vehicle allocation, usage, and cost optimisation
- Supervise and support the administration team, driving performance and professional development
- Ensure efficient administrative processes, policies, and record-keeping
- Coordinate mail, couriers, office operations, and events
- Negotiate with suppliers and vendors to support operational needs
Do you have what it takes?
- Proven experience in a facilities, fleet, or administrative management role.
- Leadership and people management skills.
- Exceptional organisational and project management abilities.
- Experience with budget management and cost control.
- A strong understanding of health and safety regulations.
- Excellent communication and interpersonal skills.
- Strong technology literacy and ability to use a wide range of technology platforms
- Experience in managing vendor relationships and service contracts.
- Values that naturally align with Five Good Friends' values and mission.
- Unlimited working rights in Australia.
- A successful National police check, or willingness to apply.
