We're looking for a superstar EA to provide high-level executive support to the CEO, while also enabling operational excellence and commercial administration. This role acts as an organisational "engine room" ensuring the CEO, ELT, and broader team can operate at pace and impact.

The Executive, Operations & Commercial Assistant ensures UnLtd is organised, proactive, and stakeholder ready. This hybrid role combines executive assistant responsibilities with commercial administration. The EA is the first point of contact for many external stakeholders, represents the CEO with professionalism and warmth, and ensures critical organisational priorities are managed seamlessly. The role requires exceptional organisation, discretion, attention to detail, and initiative. To protect focus and effectiveness, the CEO will oversee how this role's time and priorities are allocated. Team members should direct requests through the CEO to ensure the right balance of support across all areas of the business.
1. Executive Support (75%)
- Own the rhythm of the CEO's week balancing strategic focus, internal meetings, external engagements, and travel. This includes proactive scheduling, prioritisation, and coordination across competing demands, ensuring time is used with maximum impact (including workblocks). Manage inbox flow, correspondence, and follow-ups with care and efficiency, maintaining a high level of personalisation and responsiveness.
- Meeting Preparation: Organise agendas, circulate pre-reads, set up virtual/in-person meetings, catering, and technical logistics.
- Board & Governance: Manage meeting logistics, support CEO & Company secretary on required outputs.
- Travel & Offsites: Plan CEO and team travel, sourcing competitive rates. Coordinate team offsites including venues, logistics, and itineraries.
- Stakeholder Engagement: Track and manage CEO's relationships, ensuring timely follow-ups and personalised communication. Ensure every attendee from every event has a personalised linkedin connection / invitation
- Confidentiality & Judgement: Handle sensitive information with discretion and maintain the highest professional standards.
2. Operational Support (5%)
- Information Management: Ensure all UnLtd contacts, LinkedIn connections, and CRM records are up-to-date and accessible.
3. Commercial ad hoc Support (20%)
- Administration: Assist Commercial Director with proposals, contracts, presentations, and reporting.
- Pipeline Management: Update partnership trackers, sponsorship logs, and commercial activity dashboards.
- Revenue Support: Provide backend admin for invoicing, reconciliations, and partner deliverables.
- Stakeholder Engagement: Assist in preparing materials and follow-ups for key partner meetings.
4. Representation & Brand Support
- Act as a professional and positive face of UnLtd and MOOD across internal and external interactions.
- Support CEO and marketing with drafting LinkedIn posts, impact stories, and content when required.
- Ensure stakeholder touchpoints are consistent, polished, and aligned with UnLtd's purpose and brand voice.
Qualifications, Skills, Experience & Attributes
- Previous experience as an EA, PA, or Operations/Commercial Assistant.
- Exceptional organisational and time management skills.
- Strong written, oral, and interpersonal communication skills.
- Demonstrated discretion, judgement, and confidentiality in executive support.
- Highly developed digital literacy (Office Suite, , CRMs, AI productivity tools).
- Project management and problem-solving capability.
- Ability to work autonomously and adapt priorities quickly.
- Positive, proactive, "can-do" attitude.
- Design and presentation skills desirable.
Success Measures
- CEO and ELT enabled to focus on high-value strategic and commercial priorities.
- Support on meeting outputs delivered with accuracy and timeliness.
- Operational systems , WIP docs) maintained accurately and proactively.
- Commercial administration delivered on time with high quality.
- Stakeholders experience seamless engagement and consistent follow-up.
- Demonstrated impact on organisational efficiency, cost savings, and process improvements.
