About the role:
We're offering an exciting opportunity for a detail orientated and proactive Project Admin to become part of our Perth team. If you're enthusiastic, adaptable, and thrive in a dynamic environment, this could be the perfect role for you.
In this position, you'll play a key role in supporting branch operations through a variety of administrative tasks. Responsible for maintaining good relations with internal external stakeholders to manage job creation, raising purchase orders/cross checking against invoices, progressing payments to supplier partners, maintaining/updating the invoice register and preparation of contract agreements and variations
Key Responsibilities:
Skills and Experience:
• Proactively gain an understanding of the NPE organisation, its product and services and the external environment in which this role will operate. Using this knowledge, ensure that all duties are efficiently undertaken to effectively support our customers with their service requirements. Ensure that the workshop and customer needs are delivered within their required time frames of repair
• Liaise with customers to ensure they are kept up to date with their job repair status via portals and directly
• Compile and prepare for Workshop Manager job costings, prior to sending to the customer, which includes external quote correlation and pricing
• Raise and complete recharge and customer equipment jobs
• Manage invoicing of customer repair jobs
• Assist or collaborate with stakeholders to achieve key business objectives and deliver excellent customer service to both our internal and external stakeholders
• Manage all cost and contractual matters ensuring project costs, revenues, claims, and supplier agreements are administered
• Initiative, review, analyse, plan and administer the closing of contracts working with all parties to ensure the best possible commercial outcome is achieved
• Maintain good working relationships with clients and subcontractors while negotiating and managing the head contract and subcontractors for the project
• Influence and lead others in the team to produce high quality project outcomes
• Ensure that delivered products comply with contract specifications and recording and reporting on any non-conformances
• Deliver exceptional customer service, championing the NPE brand
• Provide coverage for Reception during breaks and when the employee is on leave
• Assist with Civils administration tasks
• Effectively communicate and perform as a key member of the NPE team, ensuring that you understand, prioritise and deliver on your assigned daily tasks
• Other duties as directed by your Supervisor
Essential:
• Previous experience in a similar role
• Current C-class Driver's License
• Ability to manage competing priorities and maintain a high level of accuracy and attention to detail
• Exceptional organisation and planning skills with strong adherence to deadlines
• Patient, flexible and adaptable to changing and challenging circumstances
• Great problem-solving and the ability to work well under pressure
• Excellent verbal and written communication skills
• Able to work unsupervised or with limited direction
• A high level of discretion and professionalism to act with integrity and always maintain confidentiality
• Intermediate computer skills for applications in Microsoft word, excel, outlook, and rental/hire & asset software (eg. InspHire) Desirable:

• Experience in Rental, Mining or Construction Industries (or similar)
• Certificate III Business Administration (or similar)
