About the Role

As the Fleet Maintenance Coordinator, you'll be responsible for overseeing the maintenance and compliance of our vehicle and equipment fleet, coordinating workshop activities, and supporting operational and administrative functions. You'll also be responsible for the coordination and execution of OEMX's fleet, including:

  • Toyota LandCruiser 79 Series field service utes
  • Toyota N80 Hilux fleet
  • Isuzu trucks
  • External customer vehicles

This is a dynamic role suited to someone who thrives in a fast-moving environment and enjoys variety in their day-to-day tasks.


Key Responsibilities

Fleet & Workshop Management

  • Monitor weekly pre-starts and odometer readings via
  • Manage service schedules and maintenance history using MaintainX
  • Prepare and finalise work orders, ensuring budget compliance
  • Maintain stock levels for parts and consumables
  • Oversee yard and workshop presentation and vehicle parking
  • Conduct weekly workshop inspections and manage compliance (AC gas, tooling calibration)
  • Ensure 7-day turnaround for vehicles and issue repair certificates

Project & External Work Coordination

  • Maintain project boards and Gantt charts
  • Quote, manage, and invoice external workshop projects
  • Source new external work opportunities

Administration & Compliance

  • Maintain ISO-compliant documentation and tooling registers
  • Manage Teletrac system setup and reporting
  • Coordinate logistics and supplier cost reviews
  • Handle RTW forms and onboarding documentation

Staff & Operational Support

  • Assist with minor IT issues and staff onboarding
  • Support rostering software implementation and training
  • Coordinate toolbox freight and labour hire/trade upgrades
  • Provide coverage for other coordinators during leave

Compliance & Equipment

  • Manage in-house vehicle detailing
  • Oversee maintenance of forklifts, welders, and overhead cranes
  • Ensure tooling and safety equipment compliance
What You'll Bring
  • Experience in fleet/workshop coordination or a related trade/maintenance environment
  • Strong organisational and time-management skills
  • Familiarity with MaintainX, , and Teletrac (or willingness to learn)
  • Knowledge of ISO compliance and workplace safety standards
  • Effective communication and stakeholder management skills
  • Basic IT literacy and understanding of budgeting/cost control
  • Current driver's licence HR and ability to work across field, workshop, and office environments
