Otraco is the world's leading provider of Earthmover/Off-road tyre management services to the mining industry. We are currently seeking a highly organised and motivated Office Administrator to provide effective and efficient Office Administration/Reception duties at our corporate head office and training centre situated in Kewdale.
The Role
The Office Administrator position is a varied role. As a valued member of the Operations Administrative team, not only will you be the first point of contact for all incoming calls, inquiries and clientele, you will also have day-to-day contact with the operations of the business. Administrative duties to include:
About the Role
- Management of reception area – first point of contact for the business
- Create a positive, friendly, and professional experience to all employees, suppliers and visitors attending our business
- Receive and distribute all incoming/outcoming deliveries
- Assist with site uniform ordering for office staff
- Ordering of IT equipment where required
- Ordering of office stationary and general office supplies
- Monitoring the Otraco information inbox
- Raise office purchase orders when required via the SAP software, receipt these item's and assist with outstanding accounts payable
- Assist with regular hearing test bookings
- Internal communications/notifications
- Organising morning teas
- Assist with the organising of site and office social events
- Book travel, accommodation, and car hire through Concur on an ad hoc basis.
- Assisting with Concur Reconciliation of Management Company Cards
- Maintaining/monitor office security system (CT Plus) and update register.
- Maintain telephone register and update Mitel telephone system
- Assisting our Operations Administration team with any adhoc duties
About You
The successful candidate will possess strong reception skills coupled with excellent interpersonal skills and a can-do attitude. Suitable candidates will have experience in a similar position and must be well presented as you are the first point of contact for our office. You will be able to demonstrate:
- Previous experience in the day to day administration duties of a medium sized office
- Strong organisational, planning and time management skills
- Experience in raising PO's and using SAP software
- Highly developed communication skills with confidence to interact positively with all levels
- Excellent IT and administrative skills
- Possess a high level of energy, initiative, and resourcefulness
- Exceptional organisational and time management skills
- Outstanding attention to detail
