Job Description Summary

Under the management of the Account Director, the Contract Administrator provides support to the wider account operational delivery team and the client, by coordinating and assisting with the various HR, operational, policy, and administrative requirements.

Job Description

Key Responsibilities:

  • HR Management including Onboarding and Offboarding of staff.

  • Maintenance of staff information including position descriptions, induction material

  • Ordering of IT equipment for New Starters

  • Onboard New Starters on Day 1

  • Point of Contact for enquiries from the Client, Cushman & Wakefield Corporate HQ, and contract staff

  • Coordination and set up of all contractual client management meetings, including adherence to the agreement requirements

  • Event Management

  • Processing of Invoices and creation of Purchase orders

  • Working alongside client-based teams.

  • Office Management and Administration duties, purchasing, travel booking.

  • Maintaining accurate staff database lists including contact details, clearance certificates and organisational charts

  • Collation and creation of the Monthly Report and KPI records for the Client

  • Proactively managing the follow-up of outstanding business issues

  • Creation of process documents including management plans, and presentation material

  • Responsible for account-wide communications

  • Provide guidance and support to staff, ensuring adherence with both Client and Cushman & Wakefield policies.

  • Work collaboratively with peer senior business leaders within the business to achieve critical performance goals:

    • Budget target and debtor management

    • People - Retention rate >80%, Leave Balances 7/10

Required Competencies:

  • Communication skills: Clearly articulate idea, proposals to clients and internal teams

  • Relationship building: Develop and maintain strong, trusted-based relationships with clients and internal teams.

  • Problem Solving: Quickly and effectively resolve clients' issues and challenges.

  • Time Management: Prioritize tasks and manage time efficiently to meet deadlines.

  • Analytical Skills: Analyze data to monitor entity performance and identify trends or issues.

  • Team Collaboration: Work closely with internal teams to ensure client satisfaction.

Background and Experience

  • Strong customer service, interpersonal and presentation skills

  • Previous experience working as a Team Assistant, Contract Administrator or similar

  • Strong written and oral communication skills

  • Attention to detail

  • Enthusiasm and a talent for trouble-shooting

  • Excellent organisational and time-management skills

  • Self-starter with initiative to constantly improve processes, skills and knowledge

  • Competent MS office skills and proficiency in relevant business computer systems

Required Qualifications

  • Australian Citizenship

  • Based in Canberra

  • Must have or be able to obtain a security clearance
